Introduction
This article covers syncing your CRM Companies and Contacts into Flex. Be sure to check out CRM | Overview and Key Concepts for more general information.
Note: Currently, this is a one-way sync where Flex pulls in information from your CRM. Pushing Flex contact and company information into your CRM is not available at this time.
Contacts
On the Contacts tab within Main Menu > Integrations > CRM, there are three different Match Statuses for Contacts: Match Found, New, and Linked.
Match Found
When Flex recognizes contact information from your CRM that matches contact info you have in Flex, you'll have the opportunity to sync the two existing entities together, and bring over any additional existing date from your CRM to your Flex contact.
Contact matches are found based on Email and Phone Number. If information in your Flex does not match either of those fields in your CRM, they will not automatically display.
-
Click the three-dot menu on the left-hand side of the contact name, then click Link to Existing Contact.
-
This will trigger a popup where you can match your contact.
- If you don't see a contact populate that you think is a match, you can also search for an existing Flex contact using the Search field, by typing in a name, email, or company.
- If you see more contacts populate as matches than you expected, it might be because of shared information. Ex. If the company phone number has been added to every contact attached to the company, then those will register as potential matches.
The most-likely match should populate first in most cases.
- If you see more contacts populate as matches than you expected, it might be because of shared information. Ex. If the company phone number has been added to every contact attached to the company, then those will register as potential matches.
- Once you locate the contact you want to link, select the checkbox, which will enable the Link button. Pressing the Link button in the bottom right will link the contact and close the popup.
- If there is an associated company with the contact that has not been matched, you can do that within this screen by clicking on the Match Found button next to the Company name.
-
In this match view, you can also click the question mark icon to the left of the buttons in the bottom right, and it will populate a quick guide on Match Statuses.
For matching multiple contacts at one time: -
If you have multiple contacts that you'd like to match at once, select the checkboxes on the left-hand side of the screen, then click the Link Selected button in the footer.
- This will then trigger the popup with the match contacts, and you will go through them one-by-one. You have the option to Skip if you do not want to match a certain contact.
New
For contacts where no matching information has been found in Flex, you'll have the opportunity to import the information from your CRM and create a new contact in Flex.
-
Click the three-dot menu on the left-hand side of the contact name, then click Import as New Contact.
-
This will trigger a popup where you can import your contact.
The Resource Type will populate with the Default Resource Type you've designated in Settings.
- Clicking OK will import the contact information from your CRM and refresh the data on the grid. Upon refresh, the Contact will be hyperlinked so you can easily view that Flex Contact page.
For importing multiple contacts at one time: -
If you have multiple contacts that you'd like to bulk-import, select checkboxes on the left-hand side of the screen of the contacts you want to import, then click the Import Selected button in the footer.
