Overview
Selling equipment in Flex4 is not as smooth a process as one might expect, but with a few extra steps, everything should behave as expected. Please note, this process has been completely overhauled in Flex5. Please see the How to Sell Equipment article for more information.
Sales Quotes
In most cases, you'll want to start the process with a Sales Quote. This is a unique Financial Document Element that has presets in place to make the process more natural. Some older Flex systems lack this element; if you're unable to locate it, please email support.
You'll build the Sales Quote as you would a normal Quote. The only exception is that all items added are expected to be sold.
Any items that are expected to be sold must be marked as "Retail" within the serial unit's details.
The Workflow used by Sales Quotes is the same as Quotes, so once ready, you'll need to use the Create / Update Pull Sheet Workflow Action to generate a Pull Sheet. From there, your warehouse staff can pull and scan the items as usual.
Making the Sale "Stick"
Since Flex4 was developed primarily as a rental management software, it expects most items that are scanned out to be returned. As such, you have to execute a couple of workarounds to make things look "sold" in the system.
After you have scanned everything on the Prep Screen of the Pull Sheet and Finalized it, open the Manifest and go to its Return Screen. Check the boxes for any serialized items and use the Scan Selected Items In option. Then check the boxes for any non-serialized items and use the Manually Mark Line Items as Return option. The combination of these actions should result in the progress bar being 100% Complete, and the prompt to Finalize the Return should appear. Finalize.
Sold serialized units will now show as "Marked as Sold" in the Serial Numbers tab of their respective Inventory Items and non-serialized quantities will be correctly updated.
That's it!
What if I'm doing a rental and selling some equipment?
Follow the above steps for "Making the Sale 'Stick'." You can perform them before or after returning the equipment you rented; just be sure the warehouse is aware of your intentions.
