Overview
You can hide individual inventory items in Flex, and only users with permission will be able to view them. Additionally, you can hide entire inventory groups (folders) from being viewed by certain security groups. Hiding inventory items and inventory groups can be very useful when you don’t want certain inventory items to be used on a Quote individually.
For example, if you have a projection screen package that is made up of a screen, legs, drape/skirts, and a frame, then you can hide each of those individual items from users who are building Quotes and only make the full package item visible to them. This prevents incomplete packages from being put onto Quotes and Pull Sheets.
Hiding an Inventory Item
- Open the inventory item that you want to hide.
- Click Edit Inventory Item in the Workbench Menu.
- Find the Hide option and set it to Yes.
- Click Update.
Hiding an Inventory Group
- Right-click on the inventory group that you want to hide.
- Click Inventory Group Manager.
- Click Edit Inventory Group.
- In the View Groups section, choose which security groups you want to be able to view the inventory group.
- Click UPDATE.
If no security groups are selected in the View Groups section, then ALL security groups will be able to view the inventory group.
Granting a User Permission to View Hidden Items
Inventory items that are marked as "Hidden" can still be viewed and searched for by users who have permission to do so. There are two ways to grant a user permission to view and search for hidden items—by changing the permissions of the security group they belong to or by changing their individual permissions.
How to change the security group permission:
- On the System Settings menu, click Security Groups.
- Click the PERMISSIONS button in the row of the security group that you want to edit.
- Select GRANT in the row of the "Can Browse & Search Hidden Items" permission.
Any user that belongs to the security group that you changed will have to log out and log back in for changes to take effect.
How to change the individual permission for a user:
- On the System Settings menu, click Users.
- Click the PERMISSIONS button in the row of the user whose permissions you want to change.
- Select GRANT in the row of the "Can Browse & Search Hidden Items" permission.
The user will have to log out and log back in for changes to take effect.
