Overview
The items on a Rental PO can be received directly into your Flex system. For this to work, an inventory model for the items must already be created. This is why we recommend creating an inventory model to put on a Rental PO, even if you don't actually own the item.
Searching for Rental POs That Need to Be Received
- On the Warehouse menu, click Receiving.
- Find the Rental PO that you want to receive.
By default, the Receiving screen will list any PO that has an "Order By" date within the next seven days, and has at least one line item that is using an "incoming" resource type (Rental Backorder, Retail Backorder, Subrental, etc.). But you can also use the search to search for any PO from the past or more than seven days into the future.
Receiving Line Items on a Rental PO
- On the Warehouse menu, click Receiving.
- Find the Rental PO that you want to receive. You might have to use the search bar.
- Double-click the Rental PO that you want to receive.
- Complete the receive process as detailed below.
The Rental PO receiving screen will show any line item with an incoming resource type (Rental Backorder, Retail Backorder, Subrental, etc.).
To receive a line item, double-click the item name. The left-hand side of the screen will show the receiving information.
For serialized items, you can enter a purchase cost, stencil, and serial number for the unit you are receiving. The Assign Bar Code field automatically uses "AUTO," which will automatically assign the unit a barcode based on the numbering scheme for resource type it is being received as. For sub rentals, the default numbering scheme is a 5 digit barcode with SUB as a prefix. You can, however, manually input a barcode in this field and the unit will use that barcode for scanning.
For non-serialized items, you can enter the quantity that you are receiving. The Assign Bar Code field also uses "AUTO" for non-serialized items, but this should not be changed since it will automatically use the existing model barcode for the item you are receiving.
For both serialized items and non-serialized items, once you have entered all applicable information, click ADD TO INVENTORY. You can then either print a barcode by clicking PRINT BARCODE, or move on to the next item by clicking NEXT ITEM.
When you receive sub rental items, you can open the inventory model for the items you received and see a quantity in the Subrental resource type column. This quantity is temporary, and will be reduced when you return the sub rented items.
Finalizing a Rental PO After Receiving
Once all items have been received, click FINALIZE.
This is an important step because there are settings that will cause the Rental PO to change its status when you click FINALIZE. By default, when you click FINALIZE after receiving, the Rental PO will change to the PO - Received status.
Printing a Subrental Intake Manifest
When you receive items from a Rental PO, a Subrental Intake Manifest is created. The manifest will list any item that was received. The easiest way to find a Subrental Intake Manifest is by opening the original Rental PO, then finding the manifest in the Project Tree (upper right corner). Double-click the Subrental Intake Manifest to open it.
With the Subrental Intake Manifest open, you can click Generate PDF in the Workbench Menu to print.
