Hello everyone,
For anyone who hasn't seen it yet, Flex is going to be releasing the option to receive payments using a company called PayEngine. You can sign up for early access on October 21st or it'll be open for general availability on November 1st.

Hi Dave Champagne,
I can't say much, but our integrations team is hard at work on a payments solution. Stay tuned to the newsletter!

We use Melio and our quickbooks usually is bad shape. We would love the ability to accept payments directly in Flex and look forward to the news on that.
Randy, while the integrations team is at it can we get some updates to how invoices are done. I've posted in other threads, our large shows usually involve 4-8 quotes in an event folder and billing has been a nightmare since no single project invoice exists.

Hi All,
From my experience, multiple Quotes/Invoices in an Event Folder is usually due to client request. Meaning, the end client wants to be invoiced/billed separately for each Quote. If that's not the desire of your clients, it may be worth examining other job-building options that don't introduce the unnecessary/unexpected extra elements.
I don't know when we'll work on it, but I do remember us considering the ability to create a single Invoice element from all "budgetary" elements in an Event Folder. As I understand this conversation, it seems like that would solve the problem... I'll put the idea back in front of the Product team's eyes.

Hey Randy,
We do this for two reasons and both are Flex related limitations.
First, our large projects are so large that we get close to the item line count limit for a document. A recent show that I quoted was for a large convention where we have two large event/concert stages each with full lighting/audio/video/labor on the quotes, as well as breakout panel room order that involved 26 rooms of AV. Just the panel room quote alone was 475 lines and in the yellow, and each stage was over 200 items.
The second and more critical issue is with pull sheets and shop logistics. I have mentioned many times to flex support that when scanning lines they seem to pull from random parts of the pull sheet, and there is no way to scan onto just one subtotal. There would be now way for our shop to properly prep 2 separate stages and 26 rooms of AV and know what was pulled for each room by looking at the flex screen.
We have considered using multiple pull sheets but that would be a lot of manual work to break everything up and that also breaks all links, even when doing partial pull sheet command, and would make availability tracking vastly inaccurate. So the best option for us is to have a quote for each room, stage, or major section of a project.
These types of shows are common for our compony and a major part of our business. Both issues I have brought up multiple times since starting to use Flex in 2017 and never been given a real answer. If I am missing something I would love to schedule a call or take this to email to find a better workflow that works for us. But as of now the best solution would be to continue the way we are doing things and have the option to generate a project wide invoice across multiple orders (something that is possible in Current RMS and R2).
Cheers,
Evan

Hi Evan Bollentin,
Understood on all counts. I was a Flex user back in 2014-2016 and we had a lot of the same requirements. The line limitation is due to dependencies on the old backend and we're making efforts toward removing them, but it is slow going due to the critical nature of those functionalities; we have to make sure the ports are 100% before putting them into production.
I've put this conversation in front of the Product team and I think we can probably make headway on creating a single Invoice from all Quotes in an Event Folder before the line limit issue is fixed. The larger question for us will be "how?" In just a couple of brief conversations we realized there could be a few ways to go about that, so we will have to research and plan that accordingly.

Hey Randy,
Thanks for your reply and update on this. It definitely feels good to know that progress is going to be made on this.
Another option that has been on my mind for a while is a feature that would add onto the already existing subtotal feature, but instead be like order sections that are collapsible or maybe on separate pages that would allow us to better break up larger orders, and maybe even have the option to create discrete pull sheets from each section. This could be beneficial especially when dealing with orders that can exceed the 499 line soft limit which many of mine do.
Either way I appreciate the help and definitely look forward to the Melio update as well. We have been using Flex since 2017, and over at my compony we are always working on large, complex projects that involve many rooms/stages across multiple venues, and often ship from 2 locations. So if the Dev team is interested in any of the issues we run into I would be happy to hop in a chat and share some of those experiences.

Just to add to this:
We put multiple quotes in a job folder for a few reasons.
1. We regularly hit the line limits
2. We work in department, so we generate an Audio Quote, Lighting Quote, Scenic Quote, so that we get separate Prep sheets per dpt, We then use an aggregate report to create the quote. The only way we can see to make one invoice for a job folder is to copy and paste the lines in.

As everyone else has mentioned we do multiple quotes in an event folder due to the line limits. That has been our biggest headache from the beginning. Dave Champagne we do not use Melio, but I actually just started to research on it and there are mixed reviews out there. I will say the BBB has them as an F if that means anything. I have personally decided to not to go with them.
