Overview
With the StaffingPlus add-on, you can add daily shifts directly to a line item in a Contact List (Crew Call) element—no need to create separate lines for each shift or day. Adding shifts makes schedules more accurate and ensures everyone knows when they’re expected to work. Shifts can also be managed through the Crew Dashboard, which offers a Gantt view for scheduling across multiple jobs and days.
Adding Shifts to a Line Item on a Contact List (Crew Call) Line
You can add Shifts to any line on a Contact List (Crew Call) element as long as the line has a Labor Role (skill) assigned to it.
- Open the Crew Call element and go to the Details tab.
- Click the "…" menu next to the line item you want to add Shifts to, then select Schedule Shifts.
- In the calendar popup:
- Click a date to schedule a shift.
- Click the Add Shift button, then set the shift name, shift start, and shift end.
- Click OK.
- After scheduling all desired shifts, click Save to confirm.
Removing Shifts From a Line Item on a Contact List (Crew Call) Line
- Open the Crew Call element and go to the Details tab.
- Click the "…" menu next to the line item you want to remove the shift from, then select Schedule Shifts.
- In the calendar popup:
- Click the date that you want to remove a Shift from.
- Click the Delete button on the shift you want to remove.
- Click OK.
- After making edit to desired shifts, click Save to confirm.
Bulk Scheduling Shifts to Multiple Line Items on a Contact List (Crew Call) Line
When several contacts or roles share the same shifts, you can bulk add them to ensure all selected lines receive the shifts entered.
- Open a Contact List (Crew Call) element and go to the Details tab.
- Select the checkboxes of the line items that you want to bulk add Shifts to.
- In the right-hand Modify menu, click Bulk Schedule Shifts.
After selecting Bulk Schedule Shifts, a calendar window will appear showing the line’s start and end dates, plus all dates in between. Simply check the boxes for the dates you want included in the bulk operation; any unchecked dates will be excluded.
- After choosing the dates for the bulk operation, click Next.
- In the calendar popup:
- Click a date to schedule a shift.
- Click the Add Shift button, then set the shift name, shift start, and shift end.
- Click OK.
- After bulk scheduling all desired shifts, click Save to confirm.
Adding Shifts to an Email Template That You Send to Crew
After adding Shifts to line items, you have the option to send the shift details using the following email templates:
- Staffing Email Templates (these are the email templates that you can send availability inquiries and offers with)
- Contact List Email Templates (these are the email templates that you can send to contacts who are currently assigned on a Contact List element like a Crew Call)
To add Shift information to an email template:
- Go to the Projects menu, then click Email Templates.
- Double-click the email template that you want to edit.
- In the "Message Template" section, type a double-bracket ([[) to see the email field types you are allowed to add to the template.
- Start typing "Shifts Details" and select that option from the list that populates.
- Click OK to save changes.
Generating a Report That Shows Shifts
The Crew List Time Card report will show Shifts if they exist for a line item. This report can be generated from a Contact List (Crew Call) element if it is enabled.
- Open a Contact List (Crew Call) element
- Click the Reports icon in the right-hand menu, then click Crew List Time Card
