Overview
After you add a fee matrix to your Flex system, you have to apply it to an element so it will start calculating and add to the element total. If you haven't yet added the fee matrix that you want to apply to an element, then start with the Add, Edit, and Delete a Fee Matrix article.
If you apply a fee matrix to an element then make certain changes to one of those elements from the past, it will add the new fee matrix amount to the total price or cost of that element. See Which Actions Will Cause a Financial Element to Recalculate? for more details.
Apply a Fee Matrix to an Element
A fee matrix is applied to an element by using a custom row in the element settings.
- On the Projects menu, click Element Definitions
- Double-click the element that you want to add a matrix to.
- Click the Custom Rows tab.
- Click the Add New Custom Row icon in the bottom left.
- Enter the new custom row information. See the Custom Row Fields Explanation section for more details.
- Most importantly, you'll want to set Calculation Method to "Fee Matrix," then select the fee matrix name from the Fee Matrix field.
- Click OK.
Any fees calculated by the fee matrix will now apply on the element and will add to the element total. You will not, however, see a breakdown of the fee anywhere. You can learn how to add a total block row showing the fee amount in the Add a Fee Matrix Amount to the Total Block of an Element article.
Remove a Fee Matrix from an Element
If you no longer want the fee matrix to apply to an element, you'll have to remove the custom row from the element settings.
- On the Projects menu, click Element Definitions
- Double-click the element that you want to remove the fee matrix from.
- Click the Custom Rows tab.
- Select the checkbox next to the custom row that has the fee matrix set.
- Click the Delete Selected Custom Row(s) icon.
- Click the "I Agree" checkbox, then Yes.
Custom Row Fields Explanation
- Code: The identifier for the row and what will be selected when you add it to the total block.
- Description: A description of the custom row and its purpose.
-
Calculation Method: This determines how the custom row will be calculated. For the purposes outlined in this article, we will only define the Fee Matrix option. See Projects > Element Definitions for more information about the other options.
- Fee Matrix - Select this so the custom row will be calculated based on whatever is set up in the fee matrix settings. Note that after selecting "Fee Matrix," a new field will appear below where you can select the specific fee matrix that you want to use.
-
Result Type: Whether the custom row results in a price or cost.
- Price - The custom row amount will result in a price (charged to the client) on the element.
- Cost - The custom row amount will result in a cost (internal cost to you) on the element.
- Pass Through - The custom row amount will result in both a price and a cost on the element.
-
Resource Type: If a resource type is selected, then two things will happen:
- The custom row amount will be exported to QuickBooks using the selected resource type, which is very important for account mapping.
- The custom row amount will be taxed at the percentage that is entered for the selected resource type in the sales tax rule that is set on an element. This only applies if the Tax Treatment field is set to "Use Standard Tax Rule."
-
Tax Treatment: How the custom row is taxed.
- Not Taxable - The custom row amount will not be taxed.
- Use Standard Tax Rule - The custom row amount will be taxed based on the sales tax rule that is set on the element.
- Discount Tax Pro Rata - The custom row amount will reduce the sales tax amount on the element in proportion to the sales tax rule percentage.
- Transient Calculation: If Yes, the custom row will be used for display purposes only and will not calculate into any totals.
- Is Waivable: If Yes, a user can click into the custom row total block field on an element and make manual changes.
- Must Be Negative: If Yes, any manually entered amount in the custom row will end up negative.
If you do not choose a Resource Type for the custom row and you set the Tax Treatment as "Use Standard Tax Rule," then the custom row amount will be taxed based on the "Default" percentage that is entered for the sales tax rule that is set on an element.
