Overview
Contact Types and Contact Type Groups provide an effective way to organize and classify your contacts. For example, you could set up a Contact Type called Audio Vendor, and apply that Contact Type to any audio vendor contact in your Flex system. Then you can easily filter the Contact Manager to only show Contacts that are assigned to the "audio vendor" Contact Type.
Creating a Contact Type
- On the Contacts menu, click Contact Types.
- Click the Add New Contact Type icon in the bottom left.
- Enter the new Contact Type details.
- Name: The name of the Contact Type. This is the name that will be used when assigning the Contact Type to a Contact.
- Code: Optional code for the Contact Type.
- Group: The Contact Type group that the Contact Type will belong to. The default group name is just "Default", but you can create others.
- Description: Optional description of what the Contact Type is.
- Click OK.
Editing a Contact Type
- On the Contacts menu, click Contact Types.
- Double-click the Contact Type that you want to edit.
- Edit the Contact Type details.
- Click OK.
Assigning a Contact Type to a Contact
Once a Contact Type has been created, you will see it as a selectable option when creating or editing a Contact. When creating a new Contact, you will see the Contact Type field with check boxes next to each of the Contact Types in your system. Check the box next to any Contact Type that you want to apply to the Contact or Company.
If you want to assign a Contact Type to an existing Contact or Company, open the Contact and click the Edit icon. Check the box next to any Contact Type that you want to apply to the Contact and click OK.
Creating a Contact Type Group
Contact Type Groups provide a way to organize your different Contact Types. For example, you might have a Contact Type group called "City," with several Contact Types assigned to that group (New York City, Las Vegas, Chicago, etc.).
To create a new Contact Type group:
- On the Contacts menu, click Contact Types.
- Click the Configure Contact Types Groups icon in the bottom left.
- Select the Add New Group icon.
- Enter the new Contact Type Group details.
- Name: The name of the Contact Type group. This is the name that will be used when choosing the group for a Contact Type.
- Description: Optional description of what the Contact Type group is.
- Changes are automatically saved.
Editing a Contact Type Group
- On the Contacts menu, click Contact Types.
- Click the Configure Contact Types Groups icon in the bottom left.
- Edit the Contact Type Group details
- Click OK.
Viewing Contact Types and Contact Type Groups in the Contact Manager
When you assign Contact Types to a Contact or Company, you can use the Contact Type column as a filter in the Contact Manager.
To filter by a specific Contact Type, enter the name of the Contact Type and the search results in the Contact Manager will filter accordingly.
