Overview
With a Pull Sheet created, you can now scan equipment out of your available inventory. The equipment that you scan will have a current location of the job to which it was scanned out.
Scanning Out From a Pull Sheet
- Open the Pull Sheet that you want to scan.
- Click Go to Prep Screen in the Workbench Menu (in the Warehouse section, which is the barcode icon).
There are several methods for scanning equipment out:
- Use a Barcode Scanner – For serialized items, you will scan the unique barcode found on each serialized unit of the model. For non-serialized items, you will scan the model barcode, then enter the quantity that you want to scan. See Serialized vs. Non-Serialized for more information.
- Manually Enter Barcodes – You can manually enter a barcode into the barcode input box (to the right of the main menu in Flex). Like using a barcode scanner, you will manually enter unique barcodes for serialized units, and the model barcode for non-serialized items.
- Virtual Scan – To virtually scan an item, double-click on the line item in the prep screen. If you virtually scan a serialized item, a window will appear asking you to select a specific serialized unit to send. If you virtually scan a non-serialized item, the quantity prompt will appear asking you to enter the quantity that you want to scan.
Undoing a Scan
If you need to undo a scan, click the UNDO SCAN button in the Last Scan tab. If you need to undo multiple scans, or a scan that you did earlier in the prep process, you can use the Related Scan Records screen. To access this screen, click the Options icon next to the item of which you need to undo a scan, then click Related Scan Records.
Find the barcode of the item that you want to undo the scan for, then select the checkbox of the item on the left side of the row. Click Undo Selected Scans. The selected item(s) will go back to unscanned and the item's "prep" scan record will be reversed.
NOTE: If there are multiple lines of the same inventory model, you can click "Include All Like Units" in the Related Scan Records window. This will consolidate those lines and allow you to undo multiple scan records.
Bulk Undo Scan Records
You can bulk undo scan records for "unlike" inventory items. To access this, click the Manifest tab on the Prep screen and select the lines that you want to undo. Then click the Bulk Undo Scan Records icon and confirm the action.
Bulk undoing scan records can not be reversed and must be used with caution. Any user that has the "Can Scan Equipment In & Out" permission denied will not be able to access this option.
NOTE: If the prep scan record you are undoing has an associated downstream scan, moving forward with the Bulk Undo action will result in all downstream scans being undone as well.
Using the "Choose From Another List" Option

- Double-click the line or select multiple lines from the free scanned out list that appears in the window.
- Click Scan.
Scan to Group
Scan to Group allows you to focus your scanning session on a specific group within the pull sheet. When active, all scans apply only to the lines within that group.
To activate, hover over a group row and click the barcode icon on the right, or select Scan to Group from the group's … menu. A banner will appear at the top of the screen confirming which group is active. To exit, press Esc, click × on the banner, or simply finish scanning all lines in the group — the mode will turn off automatically after all lines are scanned.
Substituting a Line
You can substitute equipment during the prep process. For example, if you don’t have enough 50 foot cables to fill the order, you can substitute them for 100 foot cables. Click the "..." menu on the line for the 50 foot cables and click Substitute Line.
A red prompt will tell you that the next item you scan will substitute for the original item. Substitution mode will remain active until the full required quantity has been satisfied — each substitute item you scan counts toward that total. Once the quantity is fulfilled, substitution mode closes automatically.
To exit substitution mode early, press Escape on your keyboard or manually select the Cancel option. Note that any quantities already scanned during the session will be retained.
While substitution mode is active, scanning a 100 foot cable will increase the scanned quantity for the 50 foot cable, while the 100 foot cable is recorded on the manifest. This allows you to fulfill the quantity for an item you don't have enough of, while still maintaining a scan record of the item actually used.
Finalizing a Pull Sheet Prep
As you have been scanning, you might have noticed that a green check mark appears next to any line item that has the quantity completely fulfilled. You will also see a green check mark next to any subtotal that has been completely fulfilled.
If you are ready to finalize, click Finalize (the lock icon in the top right corner).
