Overview
Each project element can be set up to include an associated Department field. These Departments can be applied to fit your companies need. An example of how this is often used is creating a different department for Audio, Lighting, Video, etc. After a department is assigned to an element, you can then use that information for searching and report purposes.
Adding a Department
- In the Main Menu, go to System Settings and select Departments.
- Click the Add New Department button in the bottom left.
- Enter the Name and other applicable information.
- The Accounting Name will determine what name gets pushed to QuickBooks Online when "Class Tracking Mode" is set to Department.
- Click OK.
As mentioned in the overview, Departments can be enabled in list view pages for search and organization purposes. You can also generate reports that filter specifically by the department, like the Income by Department report.
Editing a Department
- In the Main Menu, go to System Settings and select Departments.
- Double click the department you want to edit.
- Edit the applicable information.
- Click OK.
Deleting a Department
- In the Main Menu, go to System Settings and select Departments.
- Select the checkbox(s) for the department(s) you want to delete.
- Click the Delete Selected Deparments icon in the bottom left.
Undeleting a Department
- In the Main Menu, go to System Settings and select Departments.
- Click the "Show Deleted Only" option in the bottom left.
- Select the checkbox(s) for the department(s) you want to undelete.
- Click the icon in the bottom left. Undelete Selected Departments
Enabling/Disabling the Department Field on an Element Definition
By default, the Department field comes enabled on a few elements but it can be enabled (or disabled) on any element definition. To do so, you'll go to System Settings > Element Definitions, double click the element you want to enable or disable the Department field on, and click the Field Settings tab. In the row for Department, you can set the field to be Enabled, Required, Inherited, and if you can Override the value in the field.
