Overview
This article will show you how to create, copy, edit, delete, and restore (undelete) a calendar in Flex. You can create multiple calendars in your Flex system. Each calendar can show different elements, statuses, date windows, etc.
For example, you can create a calendar for the warehouse that only shows upcoming Pull Sheets and Manifests in certain statuses, or create a calendar for accounting that only shows Quotes that are ready to Invoice and Invoices that haven't been exported to QuickBooks.
Create a Calendar
- On the Main Menu, click Projects > Calendar Templates.
- In the bottom left, click Add New Calendar Template.
- Enter the new calendar information (see the articles listed below for details about the settings on each tab).
- Click OK.
The new calendar will now show in the calendar selection dropdown on the Home tab.
For detailed information about each field and option in the new calendar popup, see the following sections:
- Edit Calendar Settings
- Add, Edit, and Delete Calendar List View Columns
- Configure Which Element Types Show on a Calendar
- Configure Which Locations, Corporate Identities, and Departments Show on a Calendar
Copy an Existing Calendar
- On the Main Menu, click Projects > Calendar Templates.
- Hover over the line of the calendar that you want to copy, then click the Menu > Copy.
- Change any settings then click OK.
A new calendar named "Copy of [name of the calendar that was copied]" will be created. You can change this name before saving the new calendar or by editing the new calendar as shown in the next section.
Edit a Calendar
- On the Main Menu, click Projects > Calendar Templates.
- Hover over the line of the calendar that you want to edit, then click the Menu > Edit.
- Change any settings then click OK.
You can also edit a calendar from the Home tab:
- On the Home tab, click the Edit Calendar Template cog-wheel (next to the calendar template selector).
If you don't see the calendar template selector while on the Home tab, check that you have one of the first two sub-tabs selected:
These tabs are typically named "Daybook" and "Calendar," but "Daybook" could have a different name depending on the calendar settings in your Flex system. The "Quick Links" and "To-Do List" tabs will not show the calendar template selector.
Delete a Calendar
- On the Main Menu, click Projects > Calendar Templates.
- Hover over the line of the calendar that you want to delete, then click the Menu > Delete.
- Click OK.
You can also delete multiple calendars by selecting the box next to the calendar template name(s) then clicking the Delete Selected Calendar Template(s) icon found in the bottom left section of the page.
Restore (Undelete) a Calendar
- On the Main Menu, click Projects > Calendar Templates.
- In the bottom left, click the "Show Deleted Only" checkbox.
- Hover over the line of the calendar that you want to restore, then click the Menu > Undelete.
- Click OK.
You can also undelete multiple calendars by selecting the box next to the calendar template name(s) then clicking the Undelete Selected Calendar Template(s) icon found in the bottom left section of the page.
