Overview
The initial data import of inventory, contacts, and RFID for new customers is a complimentary service. All subsequent import requests and jobs are performed at a cost of $90 USD per occurrence. For more information, contact support@flexrentalsolutions.com
Flex offers a data import service for a broad variety of scenarios, and we currently have the ability to batch import contact records as well as inventory records. Currently, this service is not self-serve and is performed by the Support team.
If you are coming to Flex from another rental management system, Flex Support may be able to assist you with translating your existing inventory into Flex. Contact support@flexrentalsolutions.com for more information.
As a new Flex customer, you may want to do a large-scale import of inventory and/or contacts to expedite the setup process.
As an existing Flex customer, you want to make use of a batch import if you acquire a large, varied quantity of new inventory at once.

It’s helpful to be as descriptive as possible when filling out your import template. Once you have completed a template, send your file(s) to support@flexrentalsolutions.com - A Representative will review your file and request any changes necessary for the import process. Once any issues have been corrected, your import will only take a manner of minutes to complete!
Please note: Flex Support Technicians are not able to delete or make edits to your data. Please have your data completed and in the right format when submitted to Support.

Terms You Should Know
- Non-Serialized Model - An inventory item that does not require each unit to have a unique barcode. When scanning a non serialized model in or out of your Flex system, you will be prompted to enter a quantity. Many Flex customers make their cables and other small items non serialized.
- Serialized Model - An inventory model that has multiple units with individual barcodes associated with it. For example, you might have ten of the same model of audio mixers in your inventory, and each of those mixers would have its own unique barcode.
- Model Barcode - The unique identifier (five digits with preceding zeros by default) assigned to every inventory model in Flex. For Non-Serialized Models, this number can still represent a physical item like a Cable, but when scanned will instead bring up a quantity prompt. For Serialized Models, this number can be used to reference the model directly.
- Expendable Model - An inventory model whose units are not expected to return to your inventory.
- Model Container - A setting that can be applied to an inventory model that allows other inventory to be added with it automatically, as contents. For example, A powered speaker can be a model container to include an IEC automatically.
- Unit Container - A setting that can be applied to a Serialized Model that turns its unit(s) into a container for other inventory units. For example, a physical case that you would want to use in Flex to contain other items will be a Unit Container
- Free Pick Container - A setting that can be applied to a Serialized Model Unit Container that gives its units the ability to have other items scanned into it during the prep process. For example, a case whose contents you typically do not plan ahead of time would be a Free Pick Container.
- Virtual Item - A virtual item is not a physical piece of inventory, but rather a package, group of items, or a package builder itself. Virtual items can be used to represent strict or variable groups of inventory for a multitude of applications.
